Terms and Conditions

Select-a-room.com is a trading name of ASLA Ltd (hereafter called Select-a-room.com), a company registered in England and Wales - registration number 2596234. Any bookings made through our web site are subject to your acceptance of the terms and conditions outlined below:

Payment

Online bookings (credit or debit cards):
  • Payment in full is required as soon as your booking is confirmed. This may be at time of booking (for 'instant' hotels) or as soon as requested services are confirmed.
  • Payment is possible by credit card (Visa, Mastercard or Amex) or debit card (Switch, Solo or Delta).
  • All payments will be debited from your card in the currency selected.
  • In the case of failed credit card transactions we reserve the right to cancel unpaid services and all vouchers will be nul and void.
Offline bookings:

Confirmed services will be held on option for 48 hours by which time we must be in receipt of full payment by credit card. You may add your card details via 'booking history' or telephone any of our call centres with credit card details. Failure to pay will result in cancellation of services.

Credit Card Security

On the advice of our credit card authorisation company, we are occasionally required to request a signed credit card authorisation form and a photo copy of your passport for identification purposes. This measure is in place for your own security and protection against fraudulent use of credit cards.

Internal flights, Rail and Sightseeing

When providing Internal flights, Rail or Sightseeing services we are acting as agents to the principal. Please refer to your voucher for details.

Cancellations

Cancellation fees for groups will be advised upon confirmation.
Cancellation fees for individuals are charged as follows, per room (in selected currency):

  • 4 days or more prior to arrival: $25/ €25/£15 (cancellation charge only)
  • 3 days or less prior to arrival: One night accommodation charge
  • Same day (arrival day), No show and During stay: No refunds for unused accommodation.
  • All Cuba Hotels:Cancellation 8-4 working days before arrival - 2 nights penalty including any meal plan,
  • cancellation 3-0 working days before arrival - 100% cancellation penalty including any meal plan (Cuba).

With the exception of certain hotels and services, whose cancellation terms appear on the information pages prior to booking and on your booking summary and voucher:

Arrival is defined as 18.00hrs on day of arrival in hotel (local time).

Visa support is non refundable and subject to 100% cancellation charge plus €50 per person for Belarus.
Hotel booking fees are non refundable.
Rail tickets are non refundable and subject to 100% cancellation charge.
Transfers and sightseeing is non refundable within 72 hours of arrival and subject to 100% cancellation charge.
Important! Transfers in Ukraine: standard waiting time for arrival transfers is 1 hour 30 minutes after scheduled flight/train arrival time and 30 minutes after agreed pick-up time at the hotel or other location for departure transfers. We are not responsible for checking flight or other delays and transport will not wait after this time. If you or your representive contacts us with instructions to wait or supply another transfer, this confirms your accpeptance of the additional charge for the waiting or additional transfer. No refunds permitted for missed transfers.

All cancellations must be notified to Select-a-room.com in writing and acknowledged by us to the customer.

Amendments

Amendment fees are charged as follows per room (in currency selected):

  • $10/ €10/£7 per amendment. Where amendments involving cancellations are made, relevant cancellation charges will also apply.
  • $10/ €10/£7 per name change.
  • $10/ €10/£7 per amendment for transfer changes made within 48 hours of arrival.

Arrival is defined as 18.00hrs on day of arrival in hotel (local time).
All amendments are subject to availability.
All cancellations must be notified to Select-a-room.com in writing and acknowledgement received by customer.

Minimum stay

Certain rates are valid only for ‘minimum stay’ period as indicated. If you book for more or fewer nights the hotel reserves the right to offer an alternative rate appropriate for the duration requested.

Russian Visa Support

Tourist Visa support is supplied free of charge (for most nationals, exceptions apply) when you have a confirmed reservation at a Russian hotel with select-a-room. If you cancel after issue of visa support a fee of €100 per person applies.

Booking Deadlines

Select-a-room.com is able to accept online bookings up to 1 day of check in except on Saturday and Sunday, when we can only accept reservations for the following Tuesday and beyond. Same day bookings may be made only by telephone to a call centre.

Additional Hotel Charges

You must make payment for all services that are not included on your voucher (e.g. meals, phone call charges, laundry and mini-bar) directly to the hotel prior to check out.

Errors

Select-a-room cannot be held responsible for any costs incurred as a result of incorrect dates or data input by the client. It is your responsibility to supply the correct dates and information for all services requested.

Complaints

If you have a genuine complaint concerning your accommodation and cannot resolve it with the hotel directly, you must report it to Select-a-room immediately using the emergency number on your voucher or booking summary. We will attempt to resolve the matter or seek an alternative for you locally if appropriate. Upgrades will incur additional cost to you. Complaints concerning accommodation cannot be dealt with after the event if you fail to report it at the time.

Consent

By consenting to our terms of booking, you confirm that you are at least 18 years of age.

Passports and Visas

Passports and visa are your responsibility. Visas are required for ALL travellers to Russia and Belarus. Ukraine allows entry without a visa to citizens of EU, Switzerland, USA, Canada, Japan, Liechtenstein, Andorra, Vatican, Monaco, Iceland, Norway, San Marino passport holders who may stay in Ukraine up to 90 days for tourism only. We offer a service on the select-a-room.com web sites for you to obtain visa support letters for Russia, Ukraine and Belarus at a fee when booking accommodation for the entire period. These will allow you to obtain a visa from your preferred Consulate. Please check with your local consulate for full details of current requirements and charges. Restrictions may apply to certain nationalities. For UK based clients, we also offer a postal visa service to obtain Russian, Ukrainian and Belarus visas. Please note that only the Consulates of Russia, Ukraine and Belarus have the authority to grant visas and the granting of a visa is entirely at their discretion. Force Majeure

Select-a-room.com shall not be liable for any failure or delay in performance of its obligations which results directly or indirectly from any cause or circumstance which is beyond its reasonable control. Without limit to the generality of the foregoing, the following shall be regarded as such circumstances: acts of God, outbreak of hostilities, riot, civil disturbance, acts of terrorism, revolution, the act of any government or authority), fire, flood, lightning, explosion, fog or bad weather, interruption or failure of a utility service (including but not limited to electricity, gas, water or telecommunications), renovations undertaken by the hotel, or strikes.

Changes to your reservation

If we cause any change to your travel arrangements within 7 days of arrival and after confirming a requested service, we undertake to offer a similar or superior standard of accommodation without additional cost to you, or a prompt and full refund of all monies paid. In the highly unlikely event that it is not possible to provide accommodation of a similar or superior standard, we will offer compensation of $50 (or equivalent in currency selected) per person and prompt and full refund of all monies paid, unless the cause is by reason of force majeure.
